United States : Lewis Central Community School District to ditch checks and purchase orders in favor of procurement card system
Publish Date : 03-Nov-2015
In favor of a procurement card system, the Lewis Central Community School District will ditch checks and purchase orders, at least for some procurement.
School board members agreed to enter into an agreement with the Bank of Montreal for the procurement cards, called p-cards, for authorized staff of the school district.
The district would also get a rebate for using the cards rather than checks or credit cards.
The district's business manager, Dale Kreher, said he will start small with issuing p-cards, allowing only a few staff to use them at first. The p-cards are essentially credit cards which allow the district to set the limit for procurement, the authorized vendors and other restrictions, which Kreher said is putting part of a department's budget on a spending card.
He said, "It cuts down on purchase orders. It cuts down on time. It cuts down on the checks we write. It puts the onus on the person using the card."
Receipts would be needed, which is the case for the shared district credit card being used now. Each p-card holder would have to sign an acknowledgement of their responsibilities and expectations.
